E-POSTER GUIDELINES

INSTRUCTIONS FOR PREPARING E-POSTERS
All accepted posters for WASOG 2024 will be presented in digital format, displayed on high-resolution monitors for optimal clarity.

Submission Guidelines
Please submit your e-poster file via email to secretariat@wasog2024.com by 9th November 2024.

Display and Viewing Details
The e-posters will be available for general viewing from the morning of 15th November until 19:00 on 16th November. Upon arrival at the conference venue, attendees will be directed to the designated poster display area.

Poster Discussion Session
A dedicated poster discussion with our panel of esteemed judges will take place on 16th November from 17:25 to 18:25. Authors are expected to be present at their assigned monitors during this session to engage with judges and answer any questions.

Creating and Designing your E-Poster
  1. Orientation and Slide Limitation
    • All e-posters must be designed in landscape orientation to ensure they fit the display setup.
    • All content (text, images, data, etc.) should be contained within one slide to maintain simplicity and ease of viewing.
  2. Slide Dimensions and Customization
    • If designing in PowerPoint, use the Custom Slide Size feature:
      - Set Width to 50.8 cm and Height to 28.575 cm.
      - Ensure the slide orientation is set to Landscape
    • This sizing helps with consistency, though minor adjustments may be needed for exact resolution matching.
  3. Image Format
    • After designing the e-poster in PowerPoint, save the slide in JPG or PNG format.
    • Ensure your exported image file retains high quality and clarity.
  4. Resolution Specifications
    • All e-posters should match the resolution of the presentation monitors, which are set to a 9:16 ratio, specifically 1920 x 1080 or higher.
    • Verify that your exported JPG or PNG file is at this resolution to avoid any pixelation or display issues on the monitors.
Essential Information for E-Poster Design
  1. Language: The poster content must be written in English only.
  2. Poster Identification: Display the Poster Number in the top left corner.
  3. Title and Abstract Consistency: Include the Title of the E-Poster, which should be concise and match the title submitted with your abstract.
  4. Author Information:
    • List the Names and Affiliations of all authors. Use superscript Arabic numerals (e.g., ¹, ²) to link each author to their respective institution.
    • Place institutional affiliations and addresses clearly below the authors’ names.
  5. Institutional Logo: Position the logo of the affiliated institution or university in the upper right corner of the poster.
  6. Font Style and Size:
    • Use Arial font throughout the poster, with text large enough to be easily read from a distance of 1.5 meters.
    • Title and subheadings should be in bold for emphasis. Avoid italics, as they can reduce readability from a distance.
  7. Colour Scheme:
    • Limit colour usage to 2-3 complementary colours to maintain a formal and professional appearance.
    • Choose background colours that contrast well with the font for maximum readability. Avoid bright, dark, or highly textured backgrounds, as these may distract viewers
  8. Image Quality: Ensure all photographs and figures are of sufficient size and at a minimum resolution of 300 dpi for clear visibility.
  9. Graphs and Tables: Organize graphs and tables neatly, with text large enough to be easily readable.
  10. Conflict of Interest Declaration: Include a Conflict of Interest statement for all authors. If no conflicts exist, clearly state "No conflicts of interest to declare."
  11. Contact Information (Optional): You may provide contact details for delegates interested in further discussion.
  12. Units of Measurement: Use units consistent with international scientific standards, with a preference for the International Metric System.
  13. Presentation Credit: At the bottom of the poster, include: Presented at WASOG 2024.
  14. Poster Content Structure:
    • For Research Posters: Include sections such as Introduction, Objectives, Materials and Methods, Results, Conclusion, References, and Acknowledgments.
    • For Literature Review Posters: Structure your content with Introduction, Literature Review, Discussion, Conclusion, and References.
Submitting Your E-Poster
  1. Format Requirement
    • E-posters must be submitted in JPG or PNG format.
  2. Submission Email
    • Send your e-poster to secretariat@wasog2024.com.
  3. Submission Deadline
    • The deadline for e-poster submission is 9th November 2024.
  4. Late Submissions
    • Please note that failure to submit by the deadline will result in the cancellation of your presentation.
